2023 was a year of rapid growth for AWH, and with growth comes exciting opportunities and also the need to update years-old systems and policies. We have heard from you all that you want to get quicker access to appointments, that you are looking for more support between visits and that you are super excited about all of the educational opportunities we have now with events and webinars. To that note, we will be sending out a survey soon, getting your feedback on what we develop next and how we can better support you!
For today’s email, though, we are working to improve appointment access by updating our cancellation policies, we are working to improve communication by keeping emails and questions all in one place in Jane, and getting you faster response times. We are also going to be increasing prices by a small amount for some, but not all, services starting April 1st, 2024.Â
Announcing Our New Cancellation Policy
At Advanced Women’s Health, we understand that circumstances may arise that require you to reschedule or cancel your appointment. Our cancellation policy is designed to accommodate unexpected changes while ensuring that we can offer available slots to other patients in need. Here’s what you need to know:
Cancellation Fees & Credits:
Within 24 Hours, or One Business Day, of Appointment: If you cancel your appointment within 24 hours of your scheduled time, a cancellation fee equivalent to 100% of the visit cost will be charged. However, this amount will not be lost; 50% of this fee will be applied to your account as a credit for future services.
Within 48 Hours, or Two Business Days, of Appointment: If you cancel your appointment within 48 hours but more than 24 hours before your scheduled time, a cancellation fee equivalent to 50% of the visit cost will be charged. This fee will be retained as a credit for future services.
Exceptions to the Policy:
We recognize that certain situations are beyond your control. Exceptions to our cancellation policy include:
Medical Emergencies: Should you or a close family member have a sudden medical emergency, we will waive the cancellation fee. Documentation may be requested to verify the emergency.
Illness: If you need to cancel due to being acutely ill, including a fever, significant respiratory illness, vomiting and diarrhea and/or have a small child with those symptoms, the cancellation fee will be waived. Virtual appointments are available for naturopathic appointments and a change in appointment type does not qualify as a cancellation. We kindly ask for as much notice as possible.
Updates to Our Communication With You
We’re pleased to announce that we’re making some improvements to our administration procedures to better serve you. Here’s what you can expect going forward:
- Our administration team is growing, which means you can expect faster response times to your emails
- We are making some changes to how we use your Jane account, so you can expect to receive more information through Jane. Going forward, we will use your Jane account to communicate all of your follow-ups with you. Also, answers to any of the questions you have with your practitioner will be answered and housed in your Jane account. This means that all important data and updates will be housed in one convenient place to ensure you know exactly where to find the information you need.
